What we automate

The repeat work that eats your week

If someone on your team copies data from one place to another, chases a follow-up, or builds the same report every Monday, it can run on its own.

Lead capture and follow-up

New enquiries are captured, enriched, scored and answered fast, and logged in your CRM without anyone typing.

new_lead → enrich → route → reply

Sales pipeline and proposals

Deal stages update themselves, proposals draft from your call notes, and quiet deals get a nudge before they go cold.

call_ended → summarise → update_deal → draft

Client onboarding

Contract signed, folders created, tasks assigned and a welcome sent, the same way every time.

deal_won → create → assign → welcome

Invoicing and bookkeeping handoffs

Invoices go out on time, payments reconcile, and your accountant gets clean data without the chase.

job_done → invoice → remind → reconcile

Reporting and dashboards

The numbers you check every week arrive in your inbox or Slack on schedule, pulled from the source.

every_monday → collect → format → send

AI assistants for your team

Claude and ChatGPT put to work on your own processes: triaging requests, drafting replies, answering internal questions.

request → classify → draft → human_check

How it works

We map the work first, then automate the right parts

Not everything should be automated. We start with how work actually moves through your business and only build what pays for itself.

  1. Process audit

We walk through how your team works today and find the manual steps costing the most time.

  2. Blueprint

You get a clear plan: what to automate, with which tools, and what changes for your team.

  3. Build and test

We build on the tools you already use, test with real data, and train your team.

  4. Run and improve

Every automation ships with documentation and an owner, and we keep improving it as the business changes.

About

Built by an operator who has run the process himself

Danny founded Kenji ROI, a seven-figure, 25-person agency that was acquired by AMZ Onestep. He then built the sales process and systems for an M&A startup, taking it from $0 to $200k a month while closing every deal himself.

Since 2016 he has been building business process automations, both designing the process from scratch and automating the one you already have. That means KenjiFlow's automations are built around how a business actually sells, delivers and gets paid.

Questions

FAQ

What can be automated?
Anything that follows rules and repeats: lead follow-up, data entry between tools, onboarding, invoicing, reporting and first-line replies. The process audit finds which of these are worth doing first in your business.
Do we have to change the tools we use?
Usually not. We build on top of the tools you already have and connect them. If a tool is a real blocker, we will say so and explain why.
What happens in a process audit?
We go through how work moves through your business, find the manual steps that cost the most time, and give you a clear plan for what to automate and in what order.
Who looks after the automations afterwards?
Each automation ships with documentation and a named owner. We can keep running and improving them for you, or hand them over to your team.
